Campuses allow the establishment and management of sites utilizing instructional materials within your district. Record campus contacts, shipping and billing addresses, and notes specific to the campus. Campuses also provides quick on screen campus specific transactions and settings for review.
BEST PRACTICE: Document and continuously update each campus' details to enable valuable communication features in TIPWeb-IM. Such as: Email Notifications to campus contacts regarding various campus specific transactions and delivery addresses on Pick Tickets and Call Tags.
Campus ID - an alpha and/or numeric campus number (often corresponds with the student management system's campus ID numbers)
Name - name the site/location goes by (clicking on a specific campus displays their approved ISBNs and respective counts)
Contact - name of the person responsible for the respective campus' instructional material inventory
Contact Email - email of the campus' contact (this is utilized for Email Notifications)
Phone - phone number of the campus' contact
Details - opens the Campus Details screen providing additional information specific to the campus but not displayed in the Campuses grid
This grid populates when a campus name or campus ID have been selected from the Campuses grid. It only displays the ISBNs approved for the selected campus.
ISBN (International Standard Book Number) - generally a 10 or 13 digit number assigned by the publisher of the instructional material
Title - displays the assigned name of the instructional material
Copies - displays the quantity the district is holding the campus accountable for
Campus Name - name the site/location goes by
Contact - name of the person responsible for the respective campus' instructional material inventory
Phone - phone number of the campus' contact
Shipping Address - address of site's shipping location, used when shipping items to this site
Shipping City - city of site's shipping location
Shipping State - state of site's shipping location
Shipping Zip - zip of site's shipping location
ID - an alpha and/or numeric campus number (often corresponds with the student management system's campus ID numbers)
Email - email of the campus' contact (this is utilized for Email Notifications)
Region - description of the different physical locations within a district, using an established Regions list (such as: North, South, East of River, etc...)
Billing Address - address of site's billing location, used when billing items to the campus
Billing City - city of site's billing location
Billing State - state of site's billing location
Billing Zip - zip of site's billing location
Type - description of the different types or groups of sites/locations (such as Elementary Campus, District, Warehouse, etc...)
Notes - displays any district level entered notes regarding the campus
Quick Reports - provides reports respective to the campus to be viewed/printed
Print - produces a PDF version of the Quick Report selected
Edit - allows specific fields to be updated
Courses Tab - displays the courses and enrollment information (data is generally imported from the student management system every 24 hours)
Eligibility Tab - displays the ISBNs approved for the respective campus, campus inventory counts, over/short campus inventory count, and the established campus book-course relationship details
Requisitions Tab - displays all campus requisitions generated for the respective campus, date created, overall campus requisition status, who created them, and the ability to view campus requisition details
Adjustments Tab - displays all adjustment requests generated for the respective campus, date created, who created them, adjustment type, overall adjustment status, and the ability to view adjustment details
Approved Tab - displays the ISBNs approved for this campus to order and utilize
Eligibility (a number the district uses to approve additional materials requested from a campus) is calculated by the following equation:
(Campus Student % x Current enrollment number) + (Campus Teacher % x Current Teacher Enrollment Number) = ISBN eligibility
Most districts designate student edition materials for students only. In order to only account for student enrollment eligibility, use zeros in the Campus Teacher % field for student edition materials. In almost all cases, districts designate teacher edition materials for teachers only. In order to only account for teacher enrollment eligibility, use zeros in the Campus Student % field for teacher edition materials.
To designate every student/teacher enrolled is entitled to a copy of the ISBN (1:1 ratio), 100% is entered into the respective campus percentage field. It is common to have a higher percentage for the district fields. This allows for district growth, special education copies, etc...
Review an ISBN's district wide eligibility numbers on the Textbook Details' Inventory Tab under the Textbook Needs section. Reports have three District Analysis of Needs reports (current enrollment, max enrollment, and percentage forecast).
Review a campus' eligibility for an ISBN in Find a Book and/or the Campus Details' Eligibility Tab. The Campus Analysis of Need report is another option for reviewing a campus' eligibility.
