Form letters are intended to provide important information to parents/guardians and students regarding losses, fines, end of the term/year policies, and/or returning items before established deadlines.
BEST PRACTICE: TIPWeb-IM provides 3 default form letter templates. Customize or create a form letter template to meet your specific communication goals in the Form Letter Editor.
Click on Reports.
Select the Form Letter report category using the Select Report Category drop down menu.
Click on Filter, located on the desired form letter template's row. This opens the Reports Filters page.
Under the Set 1 Tab, select the first filter using the Please Select Report Filter drop down menu(s) and the desired filter criteria data.
If applying more than one filter, select the appropriate And/Or setting between the first and second filters.
If applying more than two filters, select the appropriate And/Or setting in the Set Box (located on the far right side). This opens the next Set Tab, allowing the selection of additional filters.
Select Print to launch the form letter. Depending on the file format of the report (most commonly a PDF ), use the respective file's application controls to view, save, or print the report.
And/Or Settings:
AND - combines separate search criteria together by specifying all terms must be present in the record - this narrows a search - since the more terms you join with AND, the fewer results will be returned (Example: Campus Distribution by Title Report filtered to for distributions of a specific ISBN AND a distribution status of LOST - provides a list of any teacher or student with the specific ISBN in the status of LOST on their account)
OR - separates search criteria by specifying either term may appear in the record - this expands the search to include each search criteria (Example: Campus Distribution by Title Report filtered to for distribution statuses of PRTL (Partial Paid) OR LOST - provides a list of any teacher or student with either a PRTL or LOST or both statuses on their account)
The 3 TIPWeb-IM default letters are:
Default Letter English - addresses materials not returned by an established deadline (commonly used filter for this letter is Status = LOST)
Default Letter Spanish - addresses materials not returned by an established deadline in Spanish (commonly used filter for this letter is Status = LOST)
Student Contract Letter - addresses policies regarding distributions (commonly sent to students after they receive their distributions and filtered to show all current distribution statuses)
